Consolidating Policies and Simplifying Staff Training at St Ursula’s College with CompliSpace

St Ursula’s College 

Background 

St Ursula’s College is an all girls Catholic Day and Boarding Secondary School located on the Capricorn Coast in Central Queensland.

With an enrolment of approximately 600 students, the College has 100 Staff and offers a diverse curriculum to students in Years 7-12 with an extensive co-curricular program. The College is a Ministry of Mercy Partners and is founded in the rich history and traditions of the Presentation Sisters.

Compliance and Workplace Health and Safety (WHS) Officer, Vicki Hurley, explains how implementing CompliSpace has helped the College centralise policy management, staff training, and risk management.

 

Why CompliSpace? 

The College looked to CompliSpace as an online solution to provide staff with access to up-to-date policies. Previously, policies were stored on the server, taking up space and running the risk of outdated versions being circulated or stored on individual computers. With a background in document control management, Vicki supported the need for a centralised online system.

 

Benefits for the College 

Online Incident Reporting is a valuable tool provided by CompliSpace, to monitor WHS issues and provide end of month Board reports. Training courses through CompliSpace Learning provide both online resources and the opportunity for uploading our own content. We have the ability to create Policy Modules that are not part of our subscription to meet College requirements. As a College we use PlanCheckGo for excursion risk assessments and workflow to gain Principal approval. CompliSpace has helped to streamline these processes.

 

Centralised Policy Management 

Consolidation to a central location has ensured staff are accessing current and up-to-date policies. This ensures security of documents and the automation of document updates to maintain compliance with legislation and regulations.

 

Simplified Staff Training 

CompliSpace's Learning platform has helped the College to improve staff engagement with their training courses. With CompliSpace Learning, the College has found that training course rollouts are smoother. Staff can complete courses at home, or complete training at appropriate times in a classroom setting or during professional learning sessions. The College has found this model of training easy-to-use and accessible to all staff.

The mandatory annual training modules can also be completed by all Staff, Leadership and Board Directors at the commencement of each year. With the CompliSpace Learn platform, the College can keep track of assigned learning and be assured that mandatory training has been completed by all staff before the start of the new school year.

 

Reporting Outcomes 

While the College initially sought a solution for policy management, they have used CompliSpace to improve processes and procedures across other areas of compliance within the school. This has developed an efficiency in the operational side of College functions for staff. CompliSpace has assisted the College develop greater rigour in its risk management and associated yearly compliance assessments and reports across all areas.

 

Ongoing Support 

The support offered by CompliSpace is outstanding. As all new systems have their own peculiarities, I'm still discovering new things and asking if we can do things differently. My CompliSpace Manager is great and always responds back to me in the same day, or will contact me if my query needs to be investigated further by IT.
